How to Handle Pickleball Lesson and Clinic Calls

A good pickleball lesson call ends with the caller knowing the coach or clinic name, the date, the start time, the court, the price from the written lesson sheet, and the cancellation rule. The desk note then tells the next shift what is still open. Ask which product the caller wants before you open any calendar. A private lesson, a group clinic, and a package question each live on a different sheet.

I work these calls alongside club desks. The pickleball club desk guide sends lesson calls to "the club's own process or the GM." This is that process from the desk side. If the caller only wants a court for open play or a reservation, use the how-to on pickleball court booking calls.

What is the first question on a pickleball lesson call?

The first question is which product the caller wants: a private lesson, a spot in a group clinic, or help with a lesson package they already bought. Each answer points to a different sheet. Ask it before you open any calendar, because a coach's schedule, a clinic roster, and a package record answer different questions.

Name the product before you open a calendar

A caller can say "lesson" and mean any of the three. Coach time and court time sit on separate sheets, so an open court tells you nothing about an open coach.

Product What you hear Sheet to book from Read back Do not promise
Private lesson "Can I get a lesson with [coach] this week?" That coach's published availability Coach name, date, start time, court, price from the sheet, who pays and when, cancel rule That the coach will make time off the schedule
Group clinic "Do you have a beginner clinic?" Clinic calendar with the published level and the cap the club set Clinic name, date, start time, court, level, price, who pays and when, cancel rule A spot past the cap, or a level the desk decided for the caller
Package "How many lessons do I have left?" Credits on the account and the written package rule Credits before and after, expiry as written, cancel or reschedule rule A waived charge, an extra credit, an extension, or a makeup lesson the sheet does not list

"Lesson, clinic, or a question about a package you already have?"

That line is short enough to say on every call, and it lets the caller sort themselves.

What is the desk playbook for a lesson or clinic call?

Verify the caller, name the product, open only that product's sheet, book or offer what the sheet shows, read everything back, and write the note. Each step keeps the desk inside what the club wrote down, so the desk never promises something a coach or the lesson coordinator has to undo later.

Verify the caller as member or non-member the way your club already checks, and note how you verified

Ask the product question: private lesson, group clinic, or package

Open that product's sheet and nothing else: the coach's published availability, the clinic calendar with its level and cap, or the account and the written package rule

Book from the sheet, or offer what it shows: another published time, another coach, or the waitlist if the club runs one

Quote the price from the written lesson sheet and say who pays and when. If the sheet has no price for what the caller wants, don't make one up. Log the question for the lesson coordinator

Read it back: coach or clinic name, date, start time, court, level, price, who pays and when, and the written cancellation or reschedule rule

Write the desk note, and give every open item an owner

If the caller wants to bring a friend who is not a member, handle that part with the how-to on pickleball guest fee calls.

The lesson or clinic call, in seven steps

How does the desk place a caller in the right clinic?

The caller places themselves. The desk reads the club's published level description for each clinic word for word and lets the caller pick the one that fits. If the club's sheet says the coach places players, the desk routes the caller to the coach instead. Then it checks the roster against the cap the club set.

If a caller asks the desk to tell them their level, don't. The desk hasn't seen them play, and a guess on the phone puts them in the wrong clinic for the coach to sort out on court. Write down how the level was set: self-placed or placed by the coach. If your published descriptions are too vague to self-place against, flag it to the GM in the note.

What does the desk say about lesson packages and credits?

Package answers come only from the credits on the account and the written package rule. The desk reads the credits left, the expiry, and the cancellation or reschedule rule exactly as written. It does not waive a charge, add a credit, extend an expiry, or offer a makeup lesson the sheet does not list.

What the caller asks Check on the account What the desk can say Route to
"How many lessons do I have left?" Credits remaining, expiry date The credits left and the expiry as the written rule states it Lesson coordinator if the account looks wrong
"Can I give my credits to my partner?" Written package rule on transfer What the rule says, read as written Lesson coordinator or GM if the rule says nothing
"I need to cancel my lesson." Booking time, written cancellation rule What the rule says happens to the credit or charge Lesson coordinator for any waiver request
"Can I move my lesson?" Coach availability, written reschedule rule Open published times and what the rule says about the credit Coach or lesson coordinator for times outside the schedule
"What happens to my credits if I freeze or cancel?" Written package rule What the rule says about credits Freeze or cancellation how-to, then GM
Three products, three sheets

On a cancel or reschedule, check when the lesson was booked against the written rule and tell the caller what it says about the credit or charge. The desk does not grant exceptions. It logs the request with the lesson coordinator as owner and tells the caller who will follow up.

If the member wants to pause, answer the credit part from the package rule and handle the pause with the how-to on pickleball membership freeze calls. If they want to end it, use the how-to on pickleball membership cancellation calls, and the credits still come only from the written rule.

What if the coach is booked or the clinic is full?

Offer what is on the sheet: another published time with the same coach, another coach with open time, or the clinic waitlist if the club runs one. Then log the original request for the lesson coordinator. The desk never promises a coach will make time, because the desk does not control the coach's day.

If the caller says the coach told them they'd fit them in, that might be true. The desk still books only from the published schedule, because a booking made off the sheet can double-book the coach. Log the coach's name, what the caller says was agreed, and the coordinator or coach as owner. Then tell the caller who will follow up.

What belongs in the desk note?

The desk note records what was booked, what was read back, and what is still open, with an owner on every open item. Write it so the next shift or the lesson coordinator can act on it without calling the member back to ask what happened. Use the same fields every time.

What should a club check before handing lesson calls to phone coverage?

Check that the coverage asks the product question first, books only from the coach schedule or clinic roster you approve, quotes the written lesson sheet, and reads back coach, time, court, level, price, and the cancel rule. Then check that it logs off-sheet coach requests for the lesson coordinator and leaves a note the next shift can act on.

Test it the way you'd test a new hire. Call as a member asking for a coach whose schedule is full, and listen for whether it offers what is on the sheet or promises the coach will make time. Ask what clinic you should be in, and listen for whether it reads your level description or tries to rate you. Ask for a waiver on a late cancel, then read the note it leaves.

I work with Answering Agent. The agent picks up and responds in about a second and a half. About two out of three calls are handled start to finish without needing a human. See Answering Agent for pickleball clubs, read how the phone answering works, and check Answering Agent pricing.

Then place those three test calls yourself before you hand over the phones.

FAQ

What is the first question on a pickleball lesson or clinic call?

Ask which product the caller wants: a private lesson, a group clinic, or help with a lesson package they already bought. Each answer points to a different sheet, so ask before you open any calendar.

How does the desk book a private lesson?

Open that coach's published availability only. Book what the sheet shows, quote the price from the written lesson sheet, and read back coach name, date, start time, court, who pays and when, and the cancel rule. Do not promise the coach will make time off the schedule.

How does the desk place a caller in a clinic?

It does not. The desk reads the club's published level description word for word and lets the caller self-place, or routes to the coach if the sheet says the coach places players. Then it checks the roster against the club's cap.

What can the desk say about lesson package credits?

Only what the account and the written package rule say: credits left, expiry, and the cancel or reschedule rule. The desk does not waive a charge, add a credit, extend an expiry, or invent a makeup lesson.

What if the coach is booked or the clinic is full?

Offer another published time, another coach with open time, or the waitlist if the club runs one. Log the original request for the lesson coordinator. Never promise a coach will make time.

What belongs in the desk note after a lesson or clinic call?

Caller and how verified, product, coach or clinic name, date, start time, court, level (self-placed or coach-placed), price quoted from the sheet, who pays and when, credits before and after if a package, cancel rule read, waitlist, any off-sheet request with an owner, and every open item with an owner.
